How a Twin Cities HVAC Contractor Improved Customer Service and After-Hours Emergency Call Handling

Overview

A growing Twin Cities HVAC contractor in Plymouth, MN needed a modern phone system that could support office staff, improve the customer experience, and ensure emergency service calls were handled properly outside of normal business hours.

POPP Communications implemented a Cloud Phone System that streamlined call routing, improved after-hours responsiveness, and replaced aging telephone infrastructure with more reliable connectivity.

The Challenge

Like many HVAC and field service companies, this contractor’s business depends on timely communication with customers.

During business hours, callers may need to reach dispatch, service, sales, billing, or administrative staff. After hours, emergency service requests need to be handled differently than routine calls. Every missed call is a missed opportunity to gain a new customer or to serve an existing one.

The company was also relying on legacy telephone lines and an onsite PBX that were both becoming increasingly expensive and difficult to maintain as traditional copper infrastructure continues to be phased out and updates were no longer available for the PBX software.

They needed a solution that would:

The Solution

POPP deployed a Cloud Phone System including:

  • Automated main number answering and call routing
  • Business-hours and after-hours call handling rules
  • 11 business phone users with softphone applications for computers and smartphones
  • Analog device support for an existing fax machine

Intelligent Call Routing

An automated attendant answers all incoming main number calls 24 hours a day.

During normal business hours, callers hear a consistent, professional greeting and can select from multiple menu options to quickly reach the department or person they need.

This saves time for office staff, reduces transfers and helps callers get assistance faster with less frustration.

After-Hours Emergency Call Handling

One of the most important requirements was improving after-hours responsiveness.

The system automatically switches to an alternate greeting outside of business hours and on holidays.

Callers are presented with options to:

  • Leave a voicemail message to be returned the following business day, or
  • Connect immediately with emergency on-call assistance

This allows urgent service requests to reach the appropriate personnel while reducing disruptions from non-emergency calls.

Replacing Legacy Telephone Lines

As part of the project, POPP replaced two traditional POTS lines with Wireless Phone Service, to support the building fire alarm panel.

Wireless Phone Service provides a modern alternative to aging copper telephone services while helping maintain connectivity for critical business functions. With built-in cellular calling as well as battery backup, Wireless Phone Service lines are a good fit for critical devices that must remain online even during a power or internet outage.
