Minneapolis Creative Agency Replaces Legacy PBX with Cloud Phone System

Overview

A Minneapolis marketing and creative firm was ready to move beyond an aging on-premise PBX phone system that no longer supported the way their employees worked. Although phone communication remained an important part of serving clients, much of the nine-person team worked remotely and needed the flexibility to make and answer business calls from anywhere.

POPP replaced the company’s legacy PBX and oversized 23-channel PRI service with a modern Cloud Phone System, allowing employees to use their business phone numbers from smartphones and computers while eliminating outdated hardware and reducing ongoing complexity.

The Challenge

Like many professional services firms, the company’s communications needs had changed and outgrown the capabilities of the phone system they’d had for years.

Their on-premise PBX offered limited support for remote work, and depended on a 23-channel PRI service that was expensive and designed for far more simultaneous phone calls than the business actually needed.

The company wanted a solution that would:

  • Support employees working from the office or remotely
  • Keep their existing business phone numbers
  • Create a professional experience for callers
  • Eliminate aging phone equipment
  • Reduce unnecessary telecommunications costs

Most importantly, they wanted to make the transition without spending much time on the implementation, or disrupting daily business operations.

The Solution

POPP designed and deployed a Cloud Phone System tailored to the firm’s needs.

The implementation included:

Modern Cloud Phone System

POPP replaced the company’s aging on-premise PBX with a nine-user Cloud Phone System. Every employee received smartphone and desktop calling apps, allowing them to make and take business calls using their business phone number whether they were in the office or working remotely.

Professional Main Number Call Routing

POPP configured a 24/7 Auto Attendant to answer the company’s main phone number and direct callers to the appropriate employee, complete with a staff directory and a general mailbox. The result is a more polished caller experience while reducing the need for manual call transfers.

Seamless Phone Number Transition

POPP coordinated the porting of all existing business telephone numbers. Employees were first set up and trained on their new calling apps, and once everything was ready, the phone numbers were transferred from the old PRI service provider to POPP with virtually no interruption to daily business operations.

Responsible PBX Retirement

Once the new cloud phone system was operational, POPP’s experienced technicians removed the company’s legacy PBX hardware and responsibly recycled the equipment. The client no longer has a bulky phone system cabinet taking up space in their data closet, or a box of unused desk phones.

Instead of continuing to maintain an aging PBX and oversized PRI service, the company invested in a cloud-based communications platform designed for today’s hybrid workplace.
